At Theme Seva, we believe in delivering exceptional work before asking for payment. This work-first, payment-after approach means refunds are rarely needed — but we still want to be fully transparent about how we handle them. This Refund Policy explains when refunds apply, when they don't, and how to request one.
Our Payment Philosophy
We follow a 100% work-first, payment-after model. No advance, no deposit, no upfront payment. We complete the work, share it with you for review, and only collect payment after you approve it. This means the traditional "refund" scenario rarely applies to our services.
1
Our Work-First, Payment-After Approach
Unlike traditional agencies that require 40–50% advance payment, Theme Seva operates on a completely different model:
1
You Share Your Requirements
We discuss the project scope, timeline, and total cost — 100% free consultation.
2
We Start Working — No Payment Required
Zero advance. We begin immediately after the agreement is confirmed.
3
You Receive Progress Updates
Regular previews and updates ensure the work matches your expectations.
4
Final Delivery & Free Revisions
We deliver the completed work. Minor revisions are free until you're fully satisfied.
5
You Pay 100% After Approval
Only after you approve the work is payment due. This is how we earn your trust.
Your Protection: Since you pay after the work is done, there's no risk of losing money on undelivered services. This is our way of building long-term trust with every client.
While our work-first model makes refunds uncommon, there are still situations where a refund is fully justified. Here are the cases where we issue refunds:
Refund Is Applicable
- Overpayment — you accidentally paid more than the agreed amount
- Duplicate payment — same invoice paid twice
- Payment made in error — wrong UPI/bank account
- Service not delivered by us due to our fault
- Third-party service failure (hosting, domain, etc.) — partial refund of unused portion
Refund Is NOT Applicable
- Change of mind after work approval and payment
- Client cancels project mid-way (only pay for completed work)
- Third-party licenses, subscriptions, or API costs (non-refundable)
- Domain registration or hosting fees (non-refundable)
- After final delivery and client approval
- Dissatisfaction with subjective design preferences after revisions

How to Request a Refund
If you believe you're eligible for a refund, please follow these steps:
- Contact Us: Email us at info@themeseva.in within 7 days of the transaction.
- Provide Details: Include your name, invoice number, payment date, amount, and reason for the refund.
- Verification: Our team will verify your claim and respond within 3 business days.
- Approval: If approved, we'll process the refund to your original payment method.
- Refund Timeline: Refunds are typically processed within 7–10 business days.
Note: All refunds are subject to verification. False or fraudulent claims may result in termination of services and legal action.
The time it takes to process your refund depends on the payment method you used:
| Payment Method |
Refund Timeline |
| UPI / Google Pay / PhonePe / Paytm |
3–5 business days |
| Bank Transfer (NEFT / IMPS / RTGS) |
5–7 business days |
| Credit Card / Debit Card |
7–10 business days |
| International Payment (PayPal, Wise, etc.) |
10–15 business days |
Please note that these timelines are approximate. Actual refunds may take longer depending on bank processing times and public holidays.
You may cancel a project at any time. Here's how cancellation works in different scenarios:
a) Before Work Begins
If you cancel before we've started working on your project, no payment is due. Since we don't take advance payment, there's nothing to refund.
b) During Project Work
If you cancel after work has begun, you are only required to pay for the portion of work completed up to the cancellation date. We'll provide an itemized breakdown of the work done.
c) After Final Delivery
Once the work is delivered and approved by you, the project is considered complete. Cancellation is no longer applicable at this stage.
Fairness Guarantee: We only charge for the work we've actually completed. If you cancel mid-project, you'll never be charged for undelivered work.

Third-Party Costs (Non-Refundable)
Some project components are paid to third-party providers and are non-refundable once purchased. These include:
- Domain name registration
- Web hosting / Cloud hosting plans
- SSL certificates
- Premium plugins, themes, or licenses
- API subscriptions (payment gateways, SMS, email services, etc.)
- App Store / Google Play developer account fees
- Third-party design assets or stock images
Important: These costs are paid directly to the third-party provider and cannot be refunded by Theme Seva, even if the project is cancelled. However, we always inform you of these costs upfront before purchasing.
If you have any dispute regarding payments or refunds, we encourage you to reach out to us first. Our goal is always to resolve issues amicably.
Resolution Steps:
- Contact Support: Email info@themeseva.in with your concern.
- Discussion: Our team will discuss the issue with you in detail.
- Resolution: We'll propose a fair resolution within 7 business days.
- Escalation: If unresolved, disputes shall be subject to the jurisdiction of courts in Kolkata, West Bengal, India.
